Documentation for Roofing Professionals

Document Roof Work with Precision & Protect Property History

Differentiate Your Craft with Transparent, Source-Labeled Documentation

Great roofing work deserves lasting documentation. ROOFAX helps professional contractors organize repair, reroof, material, and warranty records within an independent, ongoing property history—preserving what was documented and reducing future ambiguity.

Documentation Standards

Document Work Without Overstating Verification

A credible property record depends on accuracy about what was performed, what documentation was submitted, and which verification steps actually occurred.

What May Be Documented

  • Scope of work
  • Materials and products installed
  • Manufacturer or lot information when available
  • Before-and-after photographs
  • Invoices, warranties, and completion documents
  • Installation or completion dates
  • Permit references when available

Clear Verification Boundaries

Contractor-submitted records retain their source and review status. Submission does not imply that ROOFAX, an engineer, a building official, or another independent party inspected or approved the work unless that verification occurred.

Source & Star Model

Contractor-Submitted Documentation: Invoices, specifications, photographs, warranties, and completion records supplied by an authorized contractor. This does not itself create a 2-Star record.
1 Star — Preliminary ROOFAX Intelligence: Available preliminary records and source-labeled property information.
2 Stars — ROOFAX Certified Inspection: Current on-site findings documented or approved through a ROOFAX Certified Inspection.
3 Stars — Living Property Record: An ongoing history that can accumulate inspections, permits, contractor records, repairs, warranties, and updated report versions.

The Star Model

Supporting a 3-Star Living Property Record

A property record can mature as permits, inspections, maintenance, storm reviews, repair records, warranties, and authorized contractor documents are added over time.

  • The star model is not: A contractor rating, cosmetic-quality score, or guarantee that every submitted record has been independently verified.
  • The star model can communicate: The source types included, whether a ROOFAX Certified Inspection is present, and whether the property has an ongoing documented history.

Roofing professional documenting residential work

Tile 01

Professional Closeout Documentation

Give clients an organized digital package containing the approved scope, photographs, material information, warranties, permits, and available completion records.

Tile 02

Warranty & Product Preservation

Keep available manufacturer, product-line, color, profile, and warranty information associated with the property record for future reference.

Tile 03

Reduce Future Ambiguity

Create a dated record of the documented scope and pre-existing observations. This does not replace contractual, legal, warranty, or insurance requirements.

Tile 04

Differentiate Through Evidence

Demonstrate transparent documentation practices through source-labeled records rather than unsupported claims or pressure-based sales tactics.

Tile 05

More Informed Follow-Up Assessments

Help future inspectors, contractors, and authorized insurance professionals review documented historical information rather than relying only on assumptions.

Tile 06

ROOFAX Neutrality Commitment

ROOFAX does not repair, replace, sell, or bid roofing work. Participation is not a paid-lead guarantee, endorsement, exclusive territory, or guaranteed referral arrangement unless a future approved program explicitly provides those terms.

Answers

Frequently Asked Questions

Property professional reviewing roof information on a smartphone outdoors
Does submitting repair documentation mean ROOFAX inspected or approved my work?

No. Contractor-submitted records retain a contractor-submitted source label. They document what was supplied without claiming that a ROOFAX Certified Inspection, engineering review, or municipal approval occurred unless it actually did.

How should customer and pricing information be handled?

Only authorized property documentation needed for the approved workflow should be submitted. Customer lists, proprietary pricing, and internal contractor information should not appear in a public-facing property record. Final retention, access, and privacy behavior must follow approved product policies and permissions.

How can contractor documentation help with insurance review?

Organized records of materials, available discontinued-product information, prior repairs, photographs, and completion dates can support factual review. ROOFAX does not determine causation, coverage, repair scope, or claim payment.
